A follow-up is a formal record that captures why a student was absent or arrived late. How follow-ups work
Every attendance record with a status of Absent or Late can have a follow-up attached to it. When you mark a student absent or late, the system automatically creates a follow-up in Pending status. That follow-up stays open until a teacher or administrator reviews it and marks it resolved. The follow-up lifecycle is straightforward:Creating a follow-up
Follow-ups for Absent and Late records are created automatically when you mark an attendee with those statuses. You don’t need to create them manually in most cases. If you want to add details to a newly created follow-up straight away, you can do so from the register view:Open the register
Navigate to Registers and click on the register that contains the absence or late record you want to follow up on.
Go to the Follow-Ups tab
Inside the register, click the Follow-Ups tab. You’ll see a list of all follow-ups for that register. By default, the list is filtered to show Pending follow-ups only.
Find the follow-up record
Locate the follow-up for the student you want to document. The list shows the attendee’s name, their attendance status (Absent or Late), and the expected vs actual check-in and check-out times for context.
Resolving a follow-up
Once the reason for an absence has been established — for example, the parent called in, or a medical note was received — you can mark the follow-up as resolved.Locate the pending follow-up
Go to Registers, open the relevant register, and click the Follow-Ups tab. Alternatively, navigate directly to Registers > Follow-Ups and filter by Pending status to see all open follow-ups across all registers.
Click Resolve
In the follow-up row, click the Resolve action button. A modal opens with two fields:
- Resolution Notes — enter the reason for the absence or late arrival (e.g., “Parent called to advise student had a medical appointment” or “Medical note received from St. Francis Hospital”).
- Supporting Document (Optional) — upload any evidence file, such as a medical note, a permission letter, or a parent communication.
Bulk resolving follow-ups
If multiple follow-ups share the same resolution — for example, a class was away on a school trip — you can resolve them all at once. Select the relevant rows using the checkboxes, then choose Resolve Selected from the bulk actions menu. You’ll be prompted to enter a single set of resolution notes that applies to all selected records.Finding open follow-ups
To review all unresolved follow-ups across your school, go to Registers > Follow-Ups in the navigation. The list defaults to showing Pending status. You can also filter by Attendance Status (Absent, Late, or Early Leave) to focus on a specific category. Every action on a follow-up — creation, updates, and resolution — is logged by Elimu Bora’s activity audit system. The log records the action taken, who performed it, and when. This trail is read-only and cannot be edited, giving school leadership a reliable record for any disputes or safeguarding reviews.

Once a follow-up is marked as Resolved, it cannot be moved back to Pending through the standard interface. If a resolution needs to be revisited, contact your system administrator.

When a follow-up is created and assigned to a staff member or teacher, that person receives both an in-app notification and an email notification. The notification lets them know a follow-up requires their attention.
